What workshops ask before they switch

What should workshop management software actually do for a NZ workshop?
At minimum it should carry a job from the first phone call to the paid invoice without you re-typing anything: booking and bay scheduling, a digital job card the technician updates from the floor, parts and labour priced on that job, a GST invoice that lands in your accounting system, and an automatic reminder that brings the customer back. Anything that makes you enter the same detail twice is costing you time every single day.
Can my technicians update jobs from the workshop floor?
Yes. Hoist runs in any mobile browser, so technicians can create a job, add parts, clock on and off, and update progress from a phone or tablet at the vehicle - no desktop trip and no training required. Native iOS and Android apps are on the way.
Does Hoist send WOF and service reminders automatically?
Yes. Hoist tracks every vehicle’s WOF and service dates and sends reminders by SMS and email without you doing anything. This matters more from 1 November 2026, when two-yearly WOFs stretch the gap between visits and workshops relying on customers to remember will see fewer of them come back.
Can I send a quote and get the customer to approve it before work starts?
Yes. You can send a quote the customer approves in a tap, then turn the approved quote straight into a job. Recording that authorisation also puts you on the right side of the Consumer Guarantees Act, which is where most disputes over unexpected extra work begin.
Can I tell whether a job actually made money?
Yes. Job cards show live margin as parts and labour go on, technicians clock on and off so real hours land on the invoice as billable time, and reporting breaks results down by job, by technician and by month. Most workshops discover their margin problem is unbilled hours rather than their labour rate.
Does Hoist handle parts, stock and supplier ordering?
Yes. Stock levels update in real time as parts go onto jobs, you can order from suppliers and track what you have bought and what you owe, and your markup rules apply automatically when parts are added to a job rather than being worked out by hand.
Can I run digital vehicle inspections instead of paper checklists?
Yes. WOF and service checks are completed on-screen, you can attach photos of what you found, and the customer gets a clean report. Showing a worn part rather than describing it is the difference between a declined job and an approved one.
Is Hoist suitable for a one-person workshop, or only larger shops?
Both. Every plan includes all features rather than gating capability behind a bigger tier, and three users are included, so a solo operator gets the same job cards, reminders and Xero sync as a multi-technician shop. Can I control what each of my staff can see?
Yes. Technicians, front-desk staff and owners each get access appropriate to their role, and each sees the view of the day that suits their job rather than the whole system at once.
How do I move off paper job cards or spreadsheets?
You do not have to move everything at once. Most workshops start by running new jobs through Hoist while existing work finishes on the old system, then bring across customer and vehicle records.
